Required Information for Awarded Vendors

You are not required to provide this information with a bid or quote; however, if you are awarded an opportunity, you must provide this information before performing work and in order to receive payment.

  1. Awarded vendors must provide the following information:
    • Legal Name and Business Address
    • Contact name and email for person who will sign contract
    • Invoicing email and invoicing mailing address
    • Contact name and email for project manager for the awarded opportunity

  4. Certificate(s) of Insurance that meets or exceeds the requirements in Exhibit A provided with the solicitation for the opportunity

Additional documentation and information may be required depending on the specific project, funding source, or vendor.

For services

For services, you will need to sign the County’s standard contract before doing any work. If you want to make changes to the County’s contract, you must include those changes when you send your quote or bid. The County’s legal team will review any changes you request. Once both you and the County sign the final contract, the County will send you a task order telling you when to begin work.

For goods

For goods (not services), the County will send a purchase order and a contract is not needed.


How Does the County Select Vendors for an Award?

County policy requires that the county select a vendor based on best value to the county.

For procurements between $10,000 and $99,999, the county solicits quotes or proposals from a minimum of three vendors.

The county is committed to racial equity. To address the disparity identified in the 2024 Boulder County disparity study, the county may solicit quotes and proposals from Minority and Women-owned Business Enterprises (MWBEs). The county relies upon the City and County of Denver’s MWBE database to identify certified MWBEs. The County engages in extensive outreach efforts to MWBEs and follows its procurement policy to select a vendor.

If you believe your business should be included in the City and County of Denver MWBE database, please apply for certification through the City and County of Denver.

Certification provides several advantages:

  • Boulder County wants to work with certified Minority and Women-owned Businesses. If the county is buying something that costs between $10,000 and $99,999, the county must ask at least one certified MWBE for a price quote. For purchases under $10,000, the county is encouraged to reach out to certified MWBEs. Getting certified helps the county know you’re an MWBE so they can contact you for quotes or bids.
  • Large projects often have a main contractor (prime contractor) who hires subcontractors to work on parts of the project. For large projects, main contractors may look for certified MWBEs in the City and County of Denver database to help meet Boulder County’s contract goals.
  • Certification can help you get noticed in Denver too. Being certified may open up more chances to work with the City and County of Denver.
